Terms & Conditions for renting Don’t Wake the Bear tent sets and party supplies.

Don’t Wake the Bear rents tent sets and accessories for customers living in Lethbridge and the
surrounding areas. All our tent set decorations and additions which you can choose to rent on our
website www.dontwakethebear.org are rental items. Each tent comes with a foam mattress,

mattress protector, sheet, a fleece blanket, and decorative throw pillows. We also provide décor,
throw rugs, breakfast table, lanterns, twinkle lights, garland etc. Our photos are a guide, details may
very according to theme, party requirement and availability.
 
BOOKING, DEPOSIT and CANCELATION: All Don’t Wake the Bear’s tent set rentals required a
booking/damage deposit of $50 to secure the booking. This deposit will be held for 48 hours after
your party, to complete inspection and cleaning of the rented items. If Don’t Wake the Bear’s
representatives do not find any damage to the rented items, a full refund will be issued via e-
transfer. The Deposit is ON TOP of the fee of renting. 
 
We recommended you book a minimum of a month before your planned party date to ensure your
date and theme are available. Once the deposit has been paid and a date is confirmed, everything
will officially be booked. From there, we can start panning the details of your party. 
 
Full payment and confirmation of number of tent rentals is required 72 hours prior to the booking
date. Payment for rentals is on top of the <damage> deposit. Payment not received within this
timeframe may result in cancelation. 
 
All our prices are subject to change, however, prices quoted at the time of booking will always be
honored.
 
TRANSPORT FEE: Delivery and set up within Lethbridge city limits -free. Outside of Lethbridge city
limits, delivery and set up will be $1.50 per km each trip (set up and take down).
 
SET UP AND COLLECTION: All party rentals are arranged between both the Don’t Wake the Bear
representant and the customer. Set up time will be mutually agreed upon and determined in
advance of the event.  Our operating hours are between 10am and 4 pm.
 
No guests are permitted to be present during the set up of the party.
 
We kindly request that there is parking close to the entry door during set up and take down.
 
Each tents set up measures: 3.2 ft x 6ft. Please consider adding around 1 ft. in front to ensure there is ample room for passage. This will help avoid any inconvenience and provide easier access.We kindly ask you to ensure that enough space is provided
for set up and to please have furniture moved before our arrival.
 
We require that the tents be accommodated in a smoke and pet free environment during the
booking. Otherwise, additional cleaning fees may apply.
 
The tents are not to be moved from their designated spot after set up! NO eating or drinking in
Don’t Wake the Bear tents! NO nail polish in Don’t Wake the Bear tents or near decorations or
accessories. 
 
Don’t Wake the Bear require the renter of the tents or a designated person over the age of 18 to be
present at the time of set up. You are required to inspect Don’t Wake the Bear with our
representant before we leave to ensure that nothing is damaged. Once set up, the host or another
authorized person over the age of majority, will be asked to sign for the rental.
 
Collection/take down: will be at a mutually agreed upon time in our operating hours between 10am
and 4pm. Prior to collection, the Don’t Wake the Bear representative and party host will inspect the
condition of all the rented items base on signed inventory.
 

If no damages are found, the booking/damage deposit will be refunded full via e-Transfer. If
damages are found (rips to the product, unwastable stains, broken/damage décor) the
booking/damage deposit will not be returned or will be pro-rated at our discretion.
 
Excessive damage and/or laundering will result in additional fees.
 
All bedding is laundered after each party using sensitive washing liquid. All the mattresses cover and
throw pillows, decorative items are cleaned, disinfected, and stored in protective bags when not in
use.
 
LIABILITY: It is the responsibility of the customer who hired Don’t Wake the Bear to take the duty of
care and supervise children in and around rented items. Don’t Wake the Bear tents and accessorises
are not suitable for children under 5 years old to play in and around unattended. Don’t Wake the
Bear is not responsible for injuries or damage caused to property from misuse of our materials.
Don’t Wake the Bear assume no responsibility or liability for accidents or damage caused during the
party.
